Time And Attendance

Time and monitoring needs of companies vary from size to the business philosophy of each company. Small companies only require basic time and attendance monitoring while large corporations require proper implementation of time and attendance monitoring system and policies. Moreover, companies which hire employees on hourly basis feel more need for proper monitoring of employee time and attendance. To cater to the varied needs and requirements of companies, there is high availability of time and attendance monitoring software with specific or wide range of features.

In order to monitor time and attendance of the employees, the company is required to have a database of employees’ information. Some of the basic information required for the database includes some form of data which can be used to identify employees, the required work hours and the required work days of each employee.

When companies come together may it be a merger or an acquisition, the union leads to the combination of employee management policies and procedures. Furthermore, there is evident increase in number of employees that need to be monitored. In a way, company unions can hinder the efficient working of employee monitoring system but that is only observed in the initial stages. For example, employees belonging to a small company prior to the union might not be fully aware of the way the time and attendance system works. Once they become a part of a large organization, initially there will be some reluctance or inability of proper adoption of the system due to lack of understanding. The company’s data base would also have to be updated to register the new employees and also the change in existing employees’ information.

Time and attendance system come with a large database capacity which can efficiently monitor and maintain records of large number of employees without a problem. Employee reluctance can be reduced or completely eliminated by highlighting the benefits of such systems within organizations. As the benefits are not only limited to just the company but the employees as well, they will not feel like their actions are being closely watched just for the sake of the companies’ advantage. In addition to drawing attention on the benefits, every employee should be given a manual, that is, a handout elaborating on the working of the time and attendance system.

Policies and procedures related to employee time and attendance check should be collectively established by members of the union in accordance with the company objectives. The privacy of the employees should be also respected and measures should be taken to adopt a monitoring system which is least intrusive.

Conclusively, union does not prevent time and attendance monitoring as such but reluctance of new employees in adopting new policies and procedures of time and attendance monitoring resultantly serve as hindrances in the initial phase of union. Regardless, these minor obstacles can be overcome by taking appropriate employee-sensitive measures like distributing time and attendance system manuals for better understanding by the employees being monitored.
