An automated time and attendance system is necessary for the organization to save money and eliminate errors that occur in the manual process. Once the people who manage the workforce decide to increase efficiently,
manage labor costs and maximize profits by implementing a time and attendance system; they should prepare to install the software.
But one should be aware the implementing the time and attendance system may take time depending on a number of factors such as:
- Size of the Company: The time it takes for the implementation of the system depends on the size of the company that wishes to implement it. If the company is small and have least number of employees then implementing the system will not take time. But if there are at least a couple hundred of employees, it is out of the question. Large companies cannot implement the system quickly without sufficient resources and training time, as all the data and rules need to be imported into the system.
- Resources and Skills: If the company does not have the right skills and resources to implement the system successfully, then it will defiantly take time. But if the company is able to install the software, set up all the codes and users, and import all employee information, then get an expert to assist them with rules, formulas and polices then will be easier and quicker to implement.
- System Complexity: There are many types of time and attendance software or systems available in the market. And each is different with many different functions; the ease of use varies also. Time and attendance software that have many functions take time to implement compared to the ones that only record and track employee working hours. Some of the system allows rule setup, employee import capabilities and report writing to be implemented easily but some are very difficult to implement without assistance and training. Therefore the ease of implementing, use and setting up the time and attendance vary. If you are thinking of implementing multi-functional system then be aware that it will take time for it to be fully running.
- Experience: The time taken to implement the system depends on the person implementing it. If the implementer has done it before, then it will be easy but if it is his or her first time, then implementing the software will surely take time.
One thing managers tend to waste their time and effort is in finding and selecting the right time & attendance systems that best meets their requirements. Even though finding the right time and attendance software is necessary to manage the workforce effectively and efficiently, but the same time and effort should be put into preparing for the implementation of the system. As implementing the time & attendance systems in the company is a lengthy procedure especially if you do not have the necessary resources, skills and knowledge. Therefore it is very important that the same effort and time put in finding the system is put also in preparing for the implementation of the system.
