Time and Attendance Systems are a major part of todays HR systems and take organizations towards better HR practices and systems and towards HR excellence. The implementation of Time and Attendance Systems has a
lot of advantages for the manager. The kind of system that is implemented depends upon what the organization is trying to achieve by implementing the system.
When it comes to Time and Attendance Systems, there are many of them. Each type of system is suited to different needs and requirements. Some of the most common types of these systems include Biometric systems, barcode systems, and RFID systems among others.
Barcode systems are a common type of Time and Attendance Systems. Through this the efficiency of measuring and tracking employee time can be increased to a great degree. With the automation through barcode technology, the errors previously made in manual payroll are eliminated. As a result, the system provides high levels of accuracy and reliability in tracking of employee attendance and tracking. In addition, the costs associated with installing the system are not too much relative to the costs of payroll errors.
The implementation of the barcode system is easy. Every employee is issued a badge on which there is a barcode. In order to check into or out of the system, the badge is swapped on the time clock. As a result, the data goes into the clock. This data from the clock can be downloaded by the manager or the administrator and then used for updating and maintaining time and attendance records.
Another way of automating time and attendance of employees is RFID technology in the systems. This solution offers the organizations the efficiency and convenience associated with RFID technology at a low cost. This method is fast as well as simple. Each employee uses an RFID badge and the reader records the data when the employee enters or exits.
The biometric system provides security coupled with the convenience of biometric authentication. The most common method in this is identification through fingerprint. However, in more advanced and sophisticated systems, there is also biometric authentication using irises.
Under this system, there is time and attendance software that is paired with a time clock for employees, which uses biometric technology for authentication purposes. When these systems are in use, the employees can use their fingerprint for clocking in and clocking out. This method has the great benefit that entire process is easy as well as quick.
Other advantages of implementing biometric system include elimination of the cost previously incurred on employee badges. In the older system that used badges, there was also the on going expense associated with the damage, misplacement and stealing of badges and the continuous need for their restoration and maintenance. Through this method, the organization is also able to get rid of the practice of buddy punching.
Each of the Time and Attendance Systems has its own benefits. In the end, the kind of Time and Attendance Systems an organization implements depends largely upon the level of sophistication that is required of the system.
